A real estate transaction coordinator is a professional responsible for all of the communication and documentation involved in a real estate transaction. This includes administrative tasks, scheduling appointments, listing properties, preparing contracts, and collecting deposits.
Sales Administration Support
• Assist with preparation and processing of sales documentation
• Support the progression of properties from listing through to settlement
• Manage unconditional stages and assist with settlement coordination
• Provide administrative support to the sales team as required
Listing Management
• Create and manage property listings within the CRM
• Ensure all listing information is accurate and complete prior to publishing
• Maintain and update listings across relevant platforms Appraisal & Sales Support
• Assist in preparing appraisal documentation and supporting materials
• Compile property data and using RP Data / CoreLogic
• Support agents with pre-listing and prospecting activities
Database & Data Management
• Conduct data scrubbing to maintain database accuracy
• Generate and update call lists following database clean-up
• Maintain accurate tenant and owner records for lease and sales documentation
Marketing & Client Communication
• Prepare “Just Listed” and “Just Sold” letters and marketing materials
• Assist with basic design tasks using Canva
• Support communication with clients via email and internal channels
