POSITION DESCRIPTION
Position Title: Facilities Assistant Manager
Reports Directly to: Facilities Manager
Position Overview:
Facilities Supervisor will contribute towards the effective day to day operation and facility management. This role is to perform a variety of facilities tasks and duties include providing support to the entire business team on a day-to-day basis and managing our company’s facilities activities. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.
Requirements
Primary Responsibilities:
- Supervises the management of the facilities: Materials & Facilities, Electrical, Water, Equipment, etc.
- Maintains day to day interface with Suppliers, Contractors, Operations & Maintenance Personnel for undertaking routine activities
- Ensures that the facility is fully operational with all utilities functioning properly on a 24 x 7 basis
- Implements a 52-week planner for all M&E equipment’s including adherence
- Maintains 100% uptime for all critical equipment PM of all assets and infrastructure
- Manages the closure of help desk tickets within SLA as per priority
- Oversees and approves the managing of service providers
- Coordinates office activities and operations to secure efficiency and compliance to company policies
- Executes Incident management, RCA reporting
- Manages agendas/travel arrangements/appointments etc. for management
- Ensures operation of Infrastructure equipment by coordinating with service providers for preventive maintenance requirements; calling for repairs; maintaining equipment inventories
- Coordinate office procedures and resolve facilities issues.
- Develops and updates administrative systems to make them more efficient
- Tracks expenses of facilities team and publishes MIS and creates a monthly report on budget vs actuals with cost optimization module, also bills processes and payments
- Presents facilities presentation to management team on a monthly basis with micro level details
- Coordinates cost reduction initiatives without affecting employee satisfaction
- Plans and conducts the ISMS training, Fire drill activities as per calendar schedule
- Minimum Qualifications:
- High School Diploma or equivalent
- At least 6 years of experience in the Facilities field
- At least 6 years in a facilities or similar position
- Proven experience as an office administrator, Assistant Manager, or relevant role
- Knowledge of office management systems, procedures, and statutory compliance for service providers
- Knowledge in employees’ transportation, routing, and helpdesk support
- Technical knowledge in maintaining facilities equipment’s like AC, UPS, EB Panel and DG
- Good knowledge in managing the BMS – Access control, CCTV, Fire alarm panel and Fire Extinguisher.
