Staff in this position will be assigned duties and responsibilities for managing past due invoices, collections, and coordinating travel. They will also provide support for purchasing within the division. This position is responsible for invoice tracking and customer account management. This position will provide customer assistance and outreach via phone and email. Staff in this role will also provide administrative assistance for divisional management and our Lab Accreditation Program.
Track Past due invoices and process collections for SELS Lab Services
Division Travel Coordinator
Submit daily deposit for payments received at the window for sample analysis
Purchasing workflow backup including OnBase workflow processing
OnBase Document Management
Write and review administrative and operational procedures and provide training.
Division timekeeper
Cox Phones Subject Matter Expert
Assist Lab Accreditation Program staff with correspondence, billing payments, and past due invoice tracking.
Administrative record keeping and filing.
Distribute daily mail to management.
Reserve conference rooms and maintain division calendars.
Serve as support for reviewing, tracking, and mailing out invoices for payment.
Maintain supply inventory (office supplies and printer supplies)
Provide customer assistance and outreach via phone and email.
Other duties as assigned.
No anticipated travel for this position.
Level I - bachelor’s degree or four years of technical clerical, administrative, secretarial, or general office work; or an equivalent combination of education and experience.
• Previous experience with Oklahoma State Travel procedures is preferred but not required.
• OnBase experience is preferred but not required.
• Demonstrate familiarity with Microsoft Office suite.
• Accounting experience is preferred but not required.
• This position requires long periods of sitting and daily use of computer and phone.
This position requires the performance of repetitive tasks.
