Job Summary
Oversees the day-to-day administrative operations of an outpatient clinic or physician practice to ensure efficient workflow, high-quality patient service, and smooth office operations. Supports leadership by coordinating daily staff activities, prioritizing work assignments, troubleshooting operational issues, and serving as a resource to team members. Provides guidance and training to staff while maintaining strong knowledge of scheduling, registration, and billing systems. May act as backup support for a Supervisor or Manager as needed.
Essential Functions
Coordinates and supports daily operations of the clinic or practice to ensure efficient workflow and excellent patient service.
Assists with assigning and prioritizing staff workflow to meet operational needs.
Troubleshoots scheduling, registration, billing, and operational issues, escalating concerns when appropriate.
Provides backup support for leadership, including Supervisors and Managers, as needed.
Serves as a āSuper Userā for scheduling, registration, and billing systems, offering guidance and training to staff.
Assists in onboarding, orientation, and ongoing training of new and existing team members.
Performs advanced or specialized administrative functions, such as surgical scheduling, provider schedule changes, and template/block management.
Provides backup coverage for clerical staff by performing routine administrative and front desk duties.
Schedules patient appointments, maintains accurate appointment records, and ensures timely follow-up.
Processes patient billing forms and scans documents into the electronic medical record system (LMR/EMR).
Requests and follows up on patient medical records, referrals, and laboratory test results.
Opens, distributes, and manages incoming mail, faxes, and other correspondence.
Prepares and types forms, records, schedules, memos, and other documents as directed.
Provides day-to-day functional guidance and support to team members.
Assists leadership with monitoring daily activities and staff productivity within the practice.

Education
High School Diploma or equivalent preferred.

Licenses and Credentials
Certified Medical Assistant (National Certification) from an accredited certifying body preferred.
Experience
Minimum of 5ā7 years of office or administrative experience required.
Knowledge, Skills, and Abilities
- Proficient in Microsoft Office Suite and related office applications.
- Strong verbal and written communication skills.
- Excellent organizational and administrative skills.
- Demonstrated leadership abilities with experience guiding or supporting teams.
- Ability to effectively collaborate with staff at all organizational levels.
- Strong time management skills with the ability to prioritize competing demands.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Ability to adapt to changing priorities, deadlines, and a fast-paced work environment.

We are currently hiring a full-time, 40-hour Lead Clinic/Practice Assistant to work on-site at 4 Centennial Drive in Peabody, Monday through Friday, from 8:30 AM to 5:00 PM. Our Practice Assistants play an essential role in delivering high-quality care and ensuring an exceptional experience for our patients.
