The teamis responsible forcreating a workplace experience that helps attract andretaintalent, strengthens employee connection, and supports how people work together across the organization. While the work includes facilities-related responsibilities, the function is much broader and is centered on service, hospitality, culture, and operational excellence.
About The Opportunity
As the Assistant Director, Workplace Experience - New York, you will serve as the operational leader for College Boardās flagship office. You willownthe day-to-day workplace experience for a high-traffic, high-visibility location that regularly hosts leadership meetings, board events, and cross-organizational gatherings. You willbe responsible forensuring the office runs smoothly, employees and visitors havean exceptionalexperience, and vendors and building partners deliver high-quality service.
This role is ideal for someone who brings a hospitality mindset, strong operational instincts, and the confidence torepresentthe New York office as the face of the workplace experience team on site. You are comfortable engaging with everyone from employees and visitors to senior leaders and external vendors. You know how to manage details,maintainhigh standards, and solve problems in real time, while also thinking strategically about how the workplace environment shapes culture and connection. Supported by a Workplace Experience Coordinator, you will also lead office programming, support events, manage vendors and budget, and help build better reporting and processes for the New York location.
In This Role, You Will
NYC Operations Leadership & Service Excellence (40%)
Own day-to-day operational strategy and service delivery forĀ our New York Office, ensuring a consistently excellent experience for all employees and visitors.
Serve asĀ theĀ primaryĀ point of contact for property management, managing the building relationship including escalations, security coordination, emergency protocols, and building communications.
Oversee meeting and eventĀ logisticsĀ for large-scale gatherings, VIP visits, and board meetings, ensuring seamless execution.
Manage the NYC office technology ecosystem includingĀ spaceĀ management software,Ā interactive displays, and conferenceĀ roomĀ AV systems.
Ensure compliance with health, safety, and security protocols; serve as office emergency coordinator.
Workplace Programming & Employee Engagement (30%)
Design and execute the NYC workplace programming strategy including Bites @ The Board, Common Hour, cultural celebrations, seasonal events, and welcome experiences for hybrid visitors.
Manage theĀ SharebiteĀ food program including vendorĀ relationship, menu curation, and budget.
Develop programming calendar aligned with organizational priorities and employee feedback, presenting quarterly plans to Director.
Create andĀ maintainĀ feedback loops (post-event surveys, informal check-ins) to continuously improve programming quality and relevance.
Coordinate with Reston and PR counterparts to share best practices andĀ maintainĀ consistent programming standards.
Vendor Management & Budget Stewardship (15%)
Manage all NYC vendor relationships (catering, janitorial, AV, office supplies, etc.) with documented SLAs and quarterly performance reviews.
Own the NYC WX operational budget, trackingĀ spendĀ against plan and flagging variances proactively.
Evaluate new vendor opportunities and make recommendations toĀ DirectorĀ for contract decisions.
Process and approve invoices andĀ purchaseĀ orders withinĀ delegatedĀ authority.
Data Collection, Synthesis & Reporting (15%)
Collect and synthesize NYC workplace data (spaceĀ utilization, visitor logs, meeting volume, service requests, event attendance) into monthly reports for Director.
IdentifyĀ trends and translate data into actionable recommendations for space optimization, programming adjustments, and service improvements.
Support Director in building the unified cross-location data dashboard by providing consistent,Ā accurateĀ NYC inputs.
About You
3-5 years of experience in workplace experience, office operations, hospitality, events, facilities coordination, or a related service-delivery environment
A hospitality-forward, service-first mindset and the judgment torepresentthe New York office as the face of workplace experience on site
Experience managing facilities-related needs and coordinating effectively with property management, vendors, and building partners
Strong vendor management skills and the ability to hold service providers accountable to clear expectations and standards
Experience supporting or coordinating meetings, events, or office programming in a fast-paced, high-visibility environment
Strong organizational skills and the ability to manage competing priorities with consistency, responsiveness, and attention to detail
Excellent interpersonal and communication skills, with comfort working across all levels of the organization, including senior leadership
Confidence engaging with vendors, visitors, employees, and executive stakeholders in a polished and professional way
Comfort with workplace tools and technology, including Slack, workplace booking systems, AV platforms, and other office operations tools
Interest in coaching and supporting the development of less experienced team members
Ability tolift upto 50lbs
Ability to work on site 5 days per week in New York City
