Main tasks and responsibilities include but are not limited to the following:
- Perform accurate and timely data entry into logistics, ERP, and TMS systems for shipment records, invoices, customs documents, and inventory updates.
- Prepare, review, and distribute logistics documentation, including bills of lading, shipping manifests, packing lists, and delivery receipts.
- Assist the Logistics Manager and team members with daily administrative tasks, report generation, and presentation materials.
- Schedule and coordinate meetings, manage calendars, and arrange appointments with carriers, clients, internal departments, and external partners.
- Attend departmental and cross-functional meetings, record detailed minutes, and track action items and follow-ups.
- Serve as the primary point of contact for internal and external communications, including emails, phone calls, and interdepartmental
- coordination.
- Maintain, organize, and archive both digital and physical logistics files, ensuring compliance with record-keeping policies.
- Monitor and order office and departmental supplies, and assist with logistics equipment inventory as needed.
- Support the onboarding process for new team members by preparing materials, scheduling training, and facilitating introductions.
- Assist in the preparation and validation of logistics performance reports, KPIs, and compliance documentation.
- Coordinate with freight forwarders, carriers, and warehouse teams to update shipment statuses and resolve documentation discrepancies.
- Help maintain customer and vendor databases with up-to-date contact and service information.
- Provide backup support for front desk or other administrative functions during absences or peak periods.
