Position Purpose:
The Contract Control Coordinator supports the Contracts Manager and SIB team in administrative matters relating to contracts with actual, potential, or prospective clients. This position organizes and reviews all SIB billing packet information in preparation for submission to the billing group, ensuring all supporting documentation for invoicing is accurate and complete. The Coordinator assists with RFP responses by organizing bid materials, setting up meetings/calls, ensuring deadlines are met, and submitting bids electronically via portals. This role requires knowledge of administrative procedures and the ability to interact effectively with project managers and other key staff.
Primary Duties/Responsibilities:
- Support the Contracts Manager with administrative tasks related to contracts for Sustainable Industries and Buildings, including document processing, tracking, and coordination with corporate counsel as needed.
- Assist with billing tasks including P.O. creation, invoicing, and job closeout. Organize and review all billing packet information to ensure accuracy and completeness before submission.
- Contract administration support including routing documents for signature and maintaining contract files.
- Duties will include reviewing proposed agreements for completeness and coordinating with the Contracts Manager for client contact, as needed.
- High volume (10-20/week; 1K/year)
- Salesforce data entry and maintenance
- Review and route forward all Open Contract Review Opportunities (Daily)
- Process and track Customer Request Forms for vendor/supplier set-up
- Prepare Lien Waivers for review and signature
- Coordinate edits and obtain notarized signatures
- RFP Assistance - organize responses, coordinate bid team activities, manage deadlines
- Support T&C review process
- Prepare proposal qualifiers and supporting documentation
- Maintain database integrity to reduce unbilled revenue and support quality enhancements to contract management systems.
- Analyze data in support of business cases, proposed projects, and systems requirements as directed.
