General Characteristics (Job Summary)
- Supervise Document Control staff and provide external stakeholder with proper response in document control work.
- Maintain project documents and ensure all information is accurate, updated and distributed to the concern persons.
Roles and Responsibilities
- Perform as project system administrator for the document management system (EDMS).
- Monitor and update Multiple Data Base (Log Sheets) to keep track of all Correspondence and its electronic files..- Make reports addressing document control issue.
- Issue official documents to Client and Subcontractors.
- Take action to respond to the requirement from client, PMT or Subcontractors on document control issue.
- Maintain tracking Facility to enable documents to be updated easily.
- Prepare transmittal and Letter for Documents Submission to Client.
- Ensure all technical documents, such as reports, drawings and blueprints, are collected and registered in system.
- File documents in physical and digital records and ensure appropriate storage and ensure the latest revisions of all documents.
- Ensure drawings produced for the projects are recorded and distributed to dedicated personnel and prevent use of superseded documents.
- Prepare transmittals for General Drawings/ Documents for transmission to Client or internal purposes.
- Prepare Progress Report every week and end of the month to ensure all other discipline activities that required inspection within the activity have been inspected and approved.
- Numbering and identification of physical and electronic documents.
- Quality and compliance checks on documents.
- Progress reporting on the documents status.
- Maintain confidentiality around sensitive information and terms of agreement.
