General Characteristics (Job Summary)
- Active role of general affair at site in Engineering and Construction project.
- Act as an integral part in overall administrative support in the site operation team for Engineering and Construction projects.
Roles and Responsibilities
- Coordinate with the Subcontractor / Vendors for Camp and Catering, Rental Vehicles, Office Supplies, Fuel Supplies, Security Services, Air ticket agencies, Medical Facility at Site and Medical Insurance services for employees working at site.
- Initiate and coordinate procurement and payment process for office Materials, Furniture and fixtures as per Site Requirements and MPR.
- Daily supervision and Maintenance of Site offices and utility supplies management.
- Schedule appointments and coordinates requirements of Site Management / Dept. Manager with the external intelligence networks including government bodies, Hospital, Hotels, Transportation and Logistics providers etc.
- Actively coordinate the employee relations and employee engagement programs.
- Assist Site Management in Government relation activities and related concerns at Site.
- Procurement and Management of SAP and NON SAP Assets.
- Vendor Management.
- Contract / Purchase Order.
- Prepare expense reports.
- Gets essential permission or certification for foreigner staff / worker to reside the country at site, including being issued a visa.
- Recruiting, training administrative staff- Purchase office equipment and fixtures.
- Preparation of expense reports.
- Perform general administrative duties that may include handling confidential matters, maintaining personnel records, monitoring and preparing time sheets, monitoring costs charged to the department/project, preparing expense vouchers, making appropriate travel arrangements, and coordinating meetings.
- Schedule appointments and coordinate the department鈥檚 or manager鈥檚 interface with other company organizations, clients, and external groups- Established and maintain department and/or project files.
- Researched and abstract information and supporting data in preparation for meetings, work projects, reports and presentations.
- Order and maintain supplies and equipment for department Plans, directs organizes and controls the overall daily General Affairs activities at Site.
