Reporting to the CEO of The Pallet Network, the Executive Assistant (Internally known as Commercial Assistant) will support the CEO and the The Pallet network board members, handling a wide range of administrative tasks and acting as a liaison between internal and external stakeholders. Organisational skills, attention to detail, and proactive approach will be essential in enabling the CEO to focus on strategic initiatives and drive TPN forward.
Working hours: Monday to Friday, 40 hour week
Hybrid working with up to 2 days based at home and 3 days in the office.
Key Duties of a Executive Assistant:
- Full and complex diary management, arranging travel and accommodation for TPN Board.
- Provide operational support, working closely with all the CEO direct reports and wider management team – becoming a conduit between all parties, encouraging collaboration and improved communication.
- Provide comprehensive administrative support including a mixture of administrative, accounts management, and people management duties, including preparing reports and presentations.
- Preparing and editing correspondence, presentations, and other documents as needed, maintaining accuracy and confidentiality.
- Acting as point of contact for internal and external communications on behalf of the CEO, ensuring prompt and professional responses.
- Contract Management support, including proof reading of confidential documentation.
- Arrangement and chairing of leadership meetings, proactive minute taking and action log reporting.
- Project Management support for an array of initiatives within the department, from onboarding to recruitment, marketing strategy to tender documentation completion.
- Conducting research and gathering information to support decision-making processes and strategic initiatives.
- Managing special projects assigned by the CEO, taking ownership from conception to completion.
- Serving as a liaison between the CEO and other departments, facilitating communication and collaboration.
- Support with the analysing Key Performance Data metrics, applying logic and identifying trends to help drive continuous improvement.
- Anticipating the needs of the CEO and proactively addressing them, demonstrating initiative and resourcefulness.
