The Billing and Accounting Clerk supports the accounting and sales teams by assisting with vehicle billing and inventory recordkeeping. This position is ideal for someone looking to start a career in automotive dealership administration and accounting. Training will be provided.
Key Responsibilities
Billing Support:
- Process and bill all new and used car deals and post into accounting.
- Organize all deal paperwork; check for completeness and accuracy (verify costs and profits, signatures, VIN, etc.).
- Enter vehicle sales data into the dealership management system (DMS).
- Help prepare billing paperwork for lenders and manufacturers.
- Maintain organized files for deals and billing documents.
- Performing schedule reviews and reconciliation throughout the month.
- Provide administrative support to management, other departments and employees as needed.
Inventory Support
- Assist with stocking in vehicles as they arrive.
- Help maintain accurate inventory records in the system.
- Track vehicle paperwork, including titles and MSOs.
- Process dealer trades in and out.
- Process wholesales.
- Support physical inventory counts and resolve discrepancies with supervision.
Administrative Duties
- File and organize accounting and inventory documents.
- Communicate with sales, F&I, and accounting teams to gather missing paperwork.
- Provide general clerical support to the office as needed.
- Assist with filing and scanning.
