We are seeking a dynamic and organized individual to fill the role of Administrative Assistant, providing dedicated support to all related administration works for growing the Consumer Product Management Team in Penang (Sandisk Storage Malaysia, Batu Kawan). The successful candidate will be responsible for a wide range of administrative tasks, including sample shipment arrangements/executions, scheduling meetings, managing travel arrangements and visitors logistic, handling expense reimbursements, managing the Department Events, and PO/PR etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Sample Shipment and Delivery Tracking:
- Coordinate the shipment of samples as required, ensuring timely and accurate delivery.
- Track shipments and provide regular updates to the stake-holders
Communication Liaison:
- Act as a liaison between the Penang Consumer Team and internal/external stakeholders.
- Draft and proofread documents, presentations, and correspondence as needed
- Handle routine inquiries and prioritize messages for timely responses.
Meeting Coordination:
- Schedule and coordinate meetings for the team, including internal and external appointments.
- Prepare meeting agendas and assist in the documentation of meeting minutes.
Business Travel Plan & Arrangements:
- Manage all aspects of travel planning, including flight bookings, hotel reservations, and ground transportation.
- Ensure travel itineraries align with the company policies.
Traveling Expense / Budget Submission:
- Prepare and Submit Traveling Budget in Concur System
- Reconcile expenses, ensuring accuracy and compliance with company policies.
