What you get to do in this role:
- Schedule appointments, plan meetings, and maintain complex and changing calendars, while working through scheduling roadblocks — including proactive diary management and ownership of logistics.
- Coordinate and schedule internal and external meetings, including customer-facing engagements, while executing seamlessly across time zones and short-notice changes.
- Arrange all travel to ensure consistency within company procedures, including overseas multi-destination trips, often at short notice, while supporting the organization in obtaining necessary travel documents such as Visa/passports.
- Maintain and reconcile Leadership expenses and credit cards in compliance with policy, including detailed attention to Concur processes.
- Draft and prepare routine and advanced correspondence including emails, presentations and reports. Review outgoing correspondence for accuracy, format consistency, signatures and conformance with executive procedures.
- Provide planning and logistical support with a high degree of autonomy and freedom, ensuring all aspects of executive support run smoothly.
- Optimize usage of leadership time by making decisions regarding short-term priorities and work activities.
- Act as a team player and peer mentor — someone who can be a buddy, bring experience, and help others grow.
