What this opportunity involves:

As a Retail Coordinator at JLL, you will play a pivotal role in ensuring the smooth, efficient, and welcoming operation of our retail property. This multi-faceted position acts as the central hub of communication and administrative support for our retailers, contractors, and visitors, ensuring accurate information flow and maintaining essential centre databases. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees. By supporting the broader management team, including the Centre, Operations, Marketing, and Administration Managers, you will help foster an environment of operational excellence. What sets JLL apart is our culture of collaboration, locally and across the globe, and in this role, your daily dedication to customer service, financial processes, and compliance management will directly contribute to our shared success. We believe the most effective teams are built when everyone is empowered to thrive, and we embrace more innovative ways of working to prioritize opportunities to strengthen and advance your career.

An overview of the role:

• Serve as the primary point of contact for the centre, delivering high-quality customer service at the reception desk and managing inquiries from customers, retailers, and contractors.
• Maintain accurate centre databases, coordinate contractor compliance management, and conduct comprehensive store manager inductions.
• Manage daily banking of rental payments, raise purchase orders, and drive key accounts payable and receivable functions in coordination with the Administration Manager.
• Assist the Centre Manager, Operations Manager, and Marketing Manager with general administrative tasks, including preparing accurate minutes for weekly meetings and executing centre risk audits or promotional events.
• Coordinate tenancy compliance by conducting weekly audits, communicating requirements clearly to tenants, and managing public liability documentation.
• Administer key operational systems, including car park management, security bookings, and processing CCTV downloads alongside relevant data release forms.
• Oversee on-site health, safety, and security logistics, including updating the Proclaim database, maintaining the Go Kit and first aid supplies, and assisting with dangerous goods audits.
• Support daily office logistics by managing lost property, handling incoming and outgoing mail, filing documents systematically, and ordering office stationery.

Sounds like you? This is what we are looking for:

• Demonstrated experience in a high-volume administration, coordination, or customer service role, ideally within a retail shopping centre or commercial property environment.
• Strong interpersonal skills with a proven capability to manage challenging situations professionally and constructively with customers, retailers, and contractors.
• Proven experience with financial administrative tasks, including handling banking, managing purchase orders, and supporting accounts payable and receivable.
• Excellent digital literacy and data processing skills, with high attention to detail when maintaining databases and compliance systems like Proclaim.
• Solid understanding of work health and safety (WHS/OH&S) principles, risk audits, and contractor compliance management practices.
• Outstanding organizational and multi-tasking abilities to effectively assist multiple department managers with general administrative support.
• Active First Aid certification, or a strong willingness to undergo training, and experience maintaining first aid supplies.
• Capability to support marketing and operations teams with promotional event execution, community activations, or operational logistics.

Benefits:

• Great employee discounts off fitness, wellbeing & other renowned brands
• 18 weeks paid maternity leave
