The Executive Assistant reports to the General Manager and provides comprehensive administrative, operational, and strategic support to the General Manager, Hotel Manager, and extended Executive Committee. This role serves as the central coordination point for the Executive Office, ensuring seamless communication, impeccable organization, and elevated service delivery consistent with Fairmont’s luxury standards. The Executive Assistant protects confidentiality, anticipates needs, and contributes to the effectiveness of the property’s leadership team through polished communication, operational excellence, and exceptional guest and colleague engagement.
Key Responsibilities
Executive Office Administration & Strategic Support
• Manage the General Manager’s calendar, schedules, priorities, and travel logistics to ensure timely, efficient execution of business demands
• Coordinate all communication for the Executive Office, including correspondence, calls, emails, briefing notes, and written materials
• Prepare, refine, and proof presentations, reports, and executive summaries aligned with Fairmont and Accor brand standards
• Maintain organized systems for confidential documents, approvals, contracts, executive records, and compliance-related files
• Process and reconcile expenses, invoices, and financial documentation related to the Executive Office
• Support Executive Committee initiatives by gathering data, preparing documentation, and tracking deadlines and deliverables
• Maintain confidentiality at all times, exercising sound judgment, professionalism, and discretion
Operational Coordination & Communication
• Serve as the liaison between the Executive Office and all internal departments, ensuring smooth communication and alignment on property-wide priorities
• Coordinate property meetings including agendas, minutes, logistics, and follow-up on outstanding action items
• Ensure the Executive Office remains organized, efficient, and reflective of Fairmont’s luxury presentation standards
Guest, Owner & Stakeholder Relations
• Welcome and assist VIPs, owners, government officials, travel partners, and invited guests with professionalism and exceptional service
• Handle sensitive guest inquiries or complaints on behalf of the General Manager with urgency, empathy, and accuracy
• Prepare itineraries, schedules, and hospitality arrangements to support high-level visits, inspections, and special guests
• Represent the Executive Office at internal meetings, events, and communications as assigned
Project Management & Event Support
• Support planning and execution of executive events, leadership retreats, and property programs
• Coordinate logistics, budgets, timelines, and vendor communication for special projects and departmental needs
• Assist with brand-related initiatives, quality audits, and reopening milestones in collaboration with leadership teams
Culture, Brand & Heartist Engagement
• Ensure all messaging and documents produced by the Executive Office reflect the brand voice, service culture, and luxury positioning of Fairmont and Accor
Other Responsibilities
• Perform other duties, tasks, and special assignments as required to support the General Manager, Executive Committee, and overall hotel operations
