AECOM Tishman is seeking an Entry Level MEP/ Purchasing Agent - AECOM Tishman to be based in New York, NY.
Supports the Purchasing Department in the procurement of subcontractor trade packages across all construction disciplines, with a preference for MEP experience or interest. Works under direct supervision of the Procurement Manager on large-scale construction projects.
Core Responsibilities
Bid Management & Vendor Outreach
- Assist in preparing and issuing Invitations to Bid (ITBs) across trade packages including mechanical, electrical, plumbing, fire protection, low voltage, and general trades
- Maintain and update subcontractor prequalification lists and bid contact databases
- Coordinate bid receipt, track responses, and follow up with subcontractors to maximize coverage
- Support bid leveling by organizing proposals into comparison formats for senior review
Scope Writing & Package Preparation
- Assist in drafting scopes of work for individual trade packages under senior guidance
- Review project drawings and specifications to identify scope inclusions, exclusions, and package boundaries
- Flag potential scope gaps or overlaps between trade packages for senior review
- Compile bid packages including scopes, drawings, RFQ forms, and contract exhibits
Contract Administration & Document Control
- Support execution of subcontract agreements & purchase orders
- Maintain organized contract files, bid logs, award tracking logs, and correspondence records
- Assist in processing subcontractor insurance, bonds, and compliance documentation
- Track contract status from award through execution and flag outstanding items
Project Coordination Support
- Attend internal project kickoff and procurement planning meetings
- Coordinate with project management and estimating teams to align procurement schedules with project milestones
- Assist in preparing procurement status reports for internal distribution\
- Under close/direct supervision, purchases supplies and services from vendors at the lowest cost, according to company standards and specifications.
- Assists in preparing requests for proposals, analyzes quotes received, selects vendors, schedules and expedites deliveries, and follows up on invoices received.
- This level requires a fundamental knowledge of professional concepts but has not mastered the application of that knowledge.
