The Front Desk Receptionist is responsible for providing professional and welcoming reception services while serving as the first point of contact for employees, visitors, clients, and service providers. The role supports day-to-day office administration, visitor management, meeting coordination, and general front desk operations.
- Welcome and professionally assist visitors, clients, contractors, and employees upon arrival.
- Manage the reception desk and ensure a professional and organized front-of-house environment.
- Answer, screen, and direct incoming telephone calls and messages appropriately.
- Manage visitor registration, access procedures, visitor badges, and notifications to relevant employees.
- Coordinate meeting room bookings and assist with meeting arrangements when required.
- Receive and distribute incoming mail, courier deliveries, and other correspondence.
- Coordinate with security, facilities, administration, and other support teams regarding visitor and office requirements.
- Maintain accurate visitor and reception records in accordance with company procedures.
- Assist employees and visitors with general inquiries and direct them to the appropriate department or contact.
- Support administrative activities, including document handling, filing, scanning, printing, and data entry.
- Coordinate courier collections and deliveries and maintain relevant records.
- Monitor reception supplies and request replenishment when required.
- Support office events, employee activities, and meetings as required.
- Maintain confidentiality of company, employee, visitor, and business information.
- Ensure compliance with company policies, health and safety requirements, and security procedures.
- Perform other administrative and reception duties assigned by the supervisor or management.
