About the Job:
As an Administrative Assistant, you will play a vital role in ensuring smooth day-to-day operations across the organization. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently. In addition to providing general administrative support, this role involves managing time-sensitive insurance authorizations, requiring proactive follow-ups, accurate documentation, and close coordination with internal teams and external partners. You will help ensure that all authorization requests are processed promptly to support uninterrupted operations and service delivery.
What You'll Do:
- Perform general administrative tasks, including data entry, document management, and correspondence.
- Provide seamless administrative support, including email management, scheduling, and calendar coordination.
- Process and track insurance authorizations, ensuring timely submission, approval, and documentation.
- Conduct regular follow-ups with insurance providers, clients, and internal teams to monitor authorization status and prevent delays.
- Maintain accurate and up-to-date records of all authorization requests and related communications.
- Serve as the point of contact between clients, team members, vendors, and insurance providers, ensuring clear and timely communication.
- Perform additional administrative tasks as needed.
What You'll Bring:
- Bachelor’s degree in business administration, Management, or a related field (preferred).
- Proven experience in an administrative or support role; experience in healthcare or insurance-related processes is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills, with the ability to manage time-sensitive tasks and deadlines.
- Excellent verbal and written communication skills, with the ability to coordinate effectively with internal teams and external partners (e.g., insurance providers).
- High attention to detail, particularly in documentation and record-keeping.
- Strong problem-solving skills and the ability to proactively follow up on pending items.
- Ability to multitask, prioritize workload, and adapt in a fast-paced environment.
- Ability to work independently and collaboratively as part of a team.
