We are seeking a proactive and highly organized Applicant Engagement Specialist to support the recruitment process by ensuring consistent communication with applicants from the moment they apply until they attend a live interview. In this role, you will manage applicant engagement, monitor job postings, and maintain accurate lead tracking to ensure no candidate falls through the cracks.
Duties / Task to perform
- Post and manage open job listings across external job boards and remove postings once roles are filled.
- Review open case lists daily and ensure job board listings accurately reflect current openings.
- Monitor automated applicant communications including email and SMS notifications.
- Identify and follow up on bounced emails or undelivered messages to collect updated contact information.
- Maintain ongoing communication with applicants who have not yet attended interviews through automated reminders and manual follow-ups.
- Conduct outbound calls to re-engage applicants who have not responded to automated messages.
- Maintain and update the lead tracking system daily, accurately recording applicant status.
- Support inbound communications from applicants via phone, email, or messaging channels.
- Guide candidates through the process of joining live interviews and answer application-related questions.
- Coordinate with internal recruitment teams to ensure accurate updates on open roles and interview needs.
Requirements
- Strong verbal and written communication skills with a professional and empathetic tone.
- Excellent organizational skills and ability to manage multiple follow-ups and candidate interactions.
- Ability to maintain accurate records and update lead tracking systems consistently.
- Comfortable making outbound calls and handling inbound applicant inquiries.
- Familiarity with job boards such as Indeed, Apploi, or similar platforms.
- Experience using CRM systems or lead management tools.
- Tech-savvy with the ability to manage email, SMS platforms, and multiple browser tabs simultaneously.
- Ability to interpret geographic information and visualize regions when tracking candidate activity.
- 1+ year of experience in recruiting, sales, customer service, or administrative support preferred.
- Proficiency in Microsoft Office Suite and Google Workspace.
Schedule: Monday to Friday 8:30am to 4:30pm (EST)
