The Purpose
The Diamond Centre Coordinator is the operational backbone of the Diamond Centre, ensuring every diamond is processed, recorded and moved with absolute accuracy and impeccable documentation. As the first touchpoint for many critical workflows, the Coordinator transforms complex, fast moving information into clear, reliable data that powers replenishment, supply planning and product development across the House.
This role ensures that every stock movement, lab submission, shipment and replenishment allocation is captured with precision, enabling full traceability and seamless flow across the De Beers London value chain. By maintaining flawless SAP data, coordinating grading workflows, supporting inventory integrity and managing essential documentation, the Coordinator provides the stability and structure that allow creative, commercial and operational teams to move with confidence.
With a sharp eye for detail, a disciplined approach to process and a commitment to continuous improvement, the Coordinator strengthens the efficiency, compliance and reliability of the Diamond Centre. This role is essential to ensuring diamonds are where they need to be, when they need to be there supporting the excellence, agility and future readiness of De Beers London’s global operations.
Main Responsibilities
- Execute accurate administrative processing of all diamond movements, including inbound consignments, transfers to manufacturers and supplier returns, ensuring complete accuracy and full traceability.
- Maintain precise, timely updates across SAP and internal systems so that all stock movements, component transfers and operational changes are correctly reflected.
- Support inventory integrity through participation in stock counts, reconciliations and daily accuracy checks, ensuring alignment between physical and system records.
- Maintain accurate diamond location data and provide administrative support for melee stock management, including allocation, counting, bagging and organised storage.
- Assemble diamond kits for manufacturing in line with replenishment and production requirements, ensuring all documentation is complete and accurate.
- Prepare goods for laboratory submission, manage all administrative steps of the grading workflow, track progress and update certification data upon receipt.
- Ensure all lab related documentation and records remain complete, organised and compliant with internal standards.
- Liaise with the DBG Polished Division to coordinate diamond and melee supply for replenishment and prototype orders.
- Work closely with Supply Planning to ensure replenishment diamonds are allocated accurately, on time and in full.
- Provide timely administrative updates to Product Development on diamond availability, replenishment status and upcoming requirements.
- Maintain accurate shipment status updates for loose diamonds, stock levels and outstanding documentation to support visibility for product, merchandising and planning teams.
- Create and maintain dashboards and reports (Excel/Power BI) to track replenishment KPIs, lead times, pass rates, low stock alerts and process performance, ensuring data integrity across all outputs.
- Prepare and collate documentation for rough and polished diamond shipments, ensuring strict compliance with Customs, Kimberley Process and G7 regulations.
- Support compliance tracking, audit readiness and document maintenance in partnership with the Diamond Centre Manager.
- Work with Logistics to monitor inbound shipments, resolve documentation discrepancies and ensure timely processing.
- Provide administrative support to the Diamond Centre Manager and Coordinator during peak periods or time critical workflows.
- Identify opportunities to streamline administrative tasks, improve documentation methods and support the introduction of new processes that enhance workflow consistency and accuracy.
