What this job involves:
Delivery of the Facilities team services to operate and maintain key premises with the Australia Post portfolio, including any designated financial, technical, maintenance, procurement, asset and vendor management programs, and to provide support to wider facilities management team administration duties in accordance with company policies, procedures and processes.
It is critical for this role to engage with stakeholders across all levels of the business to ensure that service delivery expectations are met without introducing financial or tenure risk.
The Facilities Manager will be responsible for ensuring achievement of Facilities KPIs as well as identifying and implementing strategies to mitigate risk associated with the Australia Post account.
Major Responsibilities:
Risk Management
- Drive the property risk management program which identifies and manages property risks including occupational health and safety, security, fire safety and essential services, environmental and other facilities related services.
- Ensure critical environment operations within the site are identified and managed in accordance with agreed standards.
- Working with Digital Team, ensure data integrity associated with Facilities services delivery systems across the site and audit data from time to time.
- Ensure compliance with regulations / requirements of client contract and all facilities procedures
- Ensure statutory compliance of buildings and assets, and maintaining a register detailing the extent to which the site complies with all applicable Law, including disability access
- In conjunction with HSSE Risk & Compliance Manager, ensure disaster recovery and business continuity planning is implemented and maintained across the portfolio.
- Ensure escalation procedures are in place and observed for incident and problem reporting including advice to Australia Post management.
- Carryout building inspections and complete associated reports within the governance timeframe for the site.
Profitability/ Savings Initiatives
- Develop initiatives and strategies that lead to cost savings and service improvement.
Customer Service / Client Relationships
- Evaluate service response time and analyse occupants’ service request trends and suggestions.
- Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
- Pro-actively develop and manage Australia Post business unit relationships within the site ensuring that the expected service levels are achieved across the portfolio.
- Assist Workplace Management team as and when required in achieving maximum client satisfaction level.
- Continuous improvement in customer satisfaction
Reporting
- Ensure delivery of meaningful inputs across the site and that same is captured in monthly management reports.
- Work with Finance team to review financial reports including the preparation of variance analysis with Australia Post Management.
- Assist in the budgeting and recommit process including reviews with Australia Post Management.
Leadership / Staff Management
- Actively encourage an environment that supports teamwork, co-operation & performance excellence across the portfolio.
- Act as manager and a coach for the team ensuring high staff morale, trust and work ethics.
Facilities Management Services
- Responsible for the delivery of customer and property services within the site, including Operational Preparation & Commencements, Defects Liability Period management, BAU FM Operations management.
- Proactively contribute to the effective and efficient running of the site and share ideas for continuous improvement
- Management of facilities vendors, coordinate facilities works as and when required in conjunction with JLL Projects & Development Services account team.
- Understand the operational and technical requirements of the elements of the site(s) for which JLL is responsible. Ensure that current contracts are maintained to provide necessary supplies and services
- Ensure compliance with statutory regulations on fire, health and safety standards to maintain a safe and compliance environment
- Deliver facilities-related projects as in line with agreed budget or works plans; ensuring close interaction with affected business units
- Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
- Proactive management and monitoring of Help Desk / service outputs to achieve or exceed standards against agreed key performance indicators and service level targets and report regularly to key stakeholders or as agreed
- Actively encourage an environment that supports teamwork, co-operation & performance excellence across the portfolio.
