Position Purpose
The purpose of this role is to deliver Administration & Logistic support in the mailroom and enhancing face to face employee experience working with the Workplace Lead managing all aspect of the bookings and events and visitors.
Duties & responsibilities
Delivery of key on- site administration services for all major IAG offices
Build strong relationships with all stakeholders, respond to feedback, assist in the co-ordination and delivery of day to day running of office premises
Setting up meeting rooms for events, including arranging furniture, setting up audiovisual equipment, and preparing materials.
Ensure safe, clean and organised office, lobby and conference rooms
Delivery of a high-quality service including mail receipt, identification, processing and distribution
Drive digital influence within all departments, providing the option of scanning all incoming mail/cheques to a digital mailbox and maximising the digital distribution of the maximum types of correspondence.
Secure destruction of scanned correspondence and storage in the manner required by record management regulations.
Organize and schedule courier services for outgoing mail and packages
Redirect PO box correspondence to the appropriate centres
Handle legal documents with care, ensuring proper filing and routing
Track and investigate lost items in transit, coordinating with carriers as needed
Support other functions as appropriate (IE backfill of roles, systems support, invoicing etc)
Perform physical tasks that may include lifting objects up to 15kg, such as moving boxes, equipment, or furniture as required.
Adhere to safety guidelines and protocols when handling and moving objects to ensure personal safety and prevent damage to property.
Site inspections
Work close to the site FM by reporting any facilities repairs,
Manage contractors coming on site to do work for the FM.
Provide customer experience by making sure equipment is functioning and able to do simple hi level trouble shooting.
Support team with reports and VIP business meetings calendar
Support Operation excellence Manager with SOP updates and improve process and procedures.
Manage Corrigo Work orders
Support parking enquires.
Key skills
Well-developed interpersonal skills and ability to manage relationships with key stakeholders, including managing expectations (essential)
Well-developed time management and project management skills, ability to meet deadlines and coordinate others to meet key milestones (essential)
Previous experience in a corporate environment
Strong Customer Service focus
Strong PC literacy and proven ability to manage daily activities using various systems, including the internet and email functions Intermediate/Advance Word, Excel, PowerPoint skills
Mail function experience
Evidence of problem-solving skills – capacity to deal with ambiguity and solve complex problems effectively
Strong communicator – Good presentation skills and possesses strong verbal & written communication skills, also an active listener
Passion for quality – has an eye for detail to make sure the best delivery of services
