To support the Facilities Manager in the effective delivery and management of soft services (cleaning, security, waste management, reception, landscaping), including finance oversight and accurate data capturing to ensure high standards, compliance, and client satisfaction.
Assist in supervising daily operations of soft services including cleaning, security, waste disposal, pest control, landscaping, and reception.
Monitor the performance of service providers and contractors, ensuring compliance with contractual obligations and service level agreements.
Conduct site inspections and audits to maintain quality standards and health & safety compliance.
Support the Facilities Manager in preparing schedules, coordinating staff shifts, and ensuring adequate coverage.
Respond promptly to tenant and client requests and resolve issues related to soft services.
Assist with procurement and inventory management of supplies required for soft services.
Maintain records, prepare reports, and update facility management systems as required.
Ensure adherence to company policies, statutory regulations, and environmental guidelines.
Aid in the implementation of continuous improvement initiatives to optimize service delivery.
Support financial management tasks: Assist in budget tracking, invoice processing, expense monitoring, and cost optimization related to soft services.
Data capturing and analysis: Collect, validate, and maintain accurate operational data; generate reports for management insights and compliance; support performance tracking through use of facility management systems and spreadsheets.
Degree or diploma in facilities management, business administration, or related discipline (preferred).
Previous experience in facilities operations, soft service management, finance administration, or data capturing roles.
Strong communication, organization, and multitasking skills.
Knowledge of health, safety, and environmental regulations.
Proficiency in facility management software, Microsoft Office, and data analysis tools.
Ability to work independently and as part of a team.
