POSITION SUMMARY:
The Maintenance Asset Management Specialist is responsible for coordinating and supporting the implementation, administration, and ongoing operation of the Limble Maintenance Management System (CMMS/MMS) across assigned facilities. This position serves as the primary coordinator for asset data integrity, preventative maintenance program execution, work order distribution, and maintenance workflow follow-up to ensure timely completion of maintenance activities.
This role partners closely with Maintenance Managers, technicians, vendors, and operations teams to support equipment reliability, maintenance compliance, and continuous improvement initiatives. The Specialist is responsible for monitoring work order activity, assigning and distributing maintenance tasks, tracking completion status, maintaining accurate system records, and generating KPI reporting related to maintenance performance and asset management.
ESSENTIAL FUNCTIONS:
- Coordinates rollout, implementation, and ongoing administration of the Limble CMMS/MMS platform across assigned locations.
- Maintains accurate asset inventories within the maintenance management system, including equipment hierarchy, asset locations, preventative maintenance schedules, and equipment documentation.
- Reviews, prioritizes, distributes, and tracks work orders generated through the maintenance management system.
- Coordinates daily maintenance work order assignments with maintenance leadership and technicians to support operational priorities and equipment uptime.
- Monitors work order progress and follows up with technicians, vendors, and leadership to ensure timely completion and proper documentation closure.
- Assists with development, scheduling, and maintenance of preventative maintenance (PM) programs for facility and material handling equipment assets.
- Ensures maintenance records, PM histories, labor tracking, and asset documentation are properly maintained and updated within Limble.
- Generates and distributes maintenance KPI reports including work order completion metrics, PM compliance, asset histories, downtime reporting, and labor utilization.
- Supports continuous improvement initiatives related to maintenance processes, equipment reliability, safety, and operational efficiency.
- Coordinates maintenance-related documentation including SOPs, manuals, inspection forms, warranty records, and compliance documentation.
- Assists with inventory coordination for maintenance parts, supplies, and repair materials.
- Supports parts kitting activities for planned maintenance, rebuilds, and corrective maintenance projects.
- Communicates effectively with maintenance personnel, operations teams, vendors, and leadership regarding maintenance priorities, work order status, and scheduling updates.
- Assists in identifying opportunities to improve maintenance workflows, asset tracking, reporting accuracy, and CMMS utilization.
- Supports training and onboarding of maintenance personnel related to Limble CMMS usage and work order processes.
- Adheres to all company safety policies, procedures, and maintenance compliance requirements.
- Performs all other duties as assigned.

EXPERIENCE/QUALIFICATIONS:
- Minimum Degree Required: High School Diploma or Equivalent
- Preferred: Associate degree, technical certification, or coursework in Maintenance Management, Industrial Technology, Facilities Management, Business Administration, or related field.
- Minimum 3–5 years of experience in maintenance coordination, facilities support, CMMS administration, maintenance planning, or related maintenance operations environment.
- Experience utilizing CMMS/MMS platforms preferred; Limble experience strongly preferred.
- Experience coordinating maintenance work orders, preventative maintenance programs, or maintenance documentation preferred.
- Experience supporting multi-site maintenance operations preferred.
KNOWLEDGE, SKILLS, AND ABILITY:
- Strong working knowledge of computerized maintenance management systems (CMMS), preferably Limble.
- Proficient with Microsoft Office Suite including Excel, Outlook, Word, and Teams.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Ability to coordinate and track large volumes of maintenance work orders and follow-up activities.
- Strong attention to detail and data accuracy.
- Excellent communication and interpersonal skills.
- Ability to work independently with minimal supervision while collaborating effectively across departments.
- Strong problem-solving and analytical skills.
- Basic understanding of maintenance operations, preventative maintenance practices, and facility systems preferred.
- Ability to develop and maintain reports, dashboards, and maintenance metrics.
- Customer-service mindset with strong follow-through and accountability.
TRAVEL REQUIREMENTS:
- Occasional travel may be required to support facility rollouts, training, and maintenance program implementation.
PHYSICAL REQUIREMENTS:
Regularly sits and works on a computer.
Occasionally stands and walks.
Seldom/never lifts up to 50 lbs.
