As a HospitalityConciergeCoordinator, you will offer administrative support for IDEXX Hospitality including its core functions of event planning, catering, dining,businesssupportandconcierge services. This position will have a heavy focus on activities in the World Campus Conference Center (WCCC) and concierge services. This highly visible, onsite role will ensure high-quality service, excellent operational efficiency with Hospitality’s goal to “Create an Experience, Leave an Impression” for all customers. The HospitalityConciergeCoordinator provides administrative support for all Hospitality services while reporting into theHospitality Technology & Digital Brand Manager.
Thepositionhourswould be Monday - Friday - 7:00 – 3:30PM andworking onsite5 days a week atIDEXX HeadquarterslocatedatOne IDEXX Drive in Westbrook, Maine.
In this role you will:
Provide support for the Hospitality team, duties may include, but are not limited toprovidingthe backbone ofoperational supporton the event floor of the WCCCincluding checking room set ups,service execution,guestassistance, coordinationwith catering,breakdown/reset support, etc.
Manage the sharedIDEXXHospitality@idexx.cominbox, scheduling, reporting, tracking event inventory, problemsolving fortechnical issues, ordering event/meeting supplies, spreadsheetcreationand general project management.
Handle various Hospitality concierge duties including but not limited to supporting inventory, restocking, dining digital signage, business center and copier needs, incoming/outgoing mail operations, etc.
Be an administrator for management software of the WCCC - primarilyAccruent/EMStobook internal space, reporting, banquet event orders,cateringmenu input,event signage, etc.
Partner with service partners inBuilding Services, Security, Janitorial, AV, etc.tohelp executemeetingsandguest needs in theWCCC needs.
Provide excellent,professionalandtimelycustomer service to create memorable experiences forallcustomers.
Diplomatically manage and negotiate last-minute customer requests,resolve conflict quickly and efficientlywith proactive and consistent communicationin a professional manner.
Identifytrends and resources needed for the department andcontributeto creatingthese solutions.
Support the IDEXX Hospitality teams as needed and fill in for PTO coverage on various teams.
What you will need to succeed:
Abachelor’s degree inBusiness,Communications,PublicRelations,Marketing,Hospitalityora related fieldis preferred.
Ideallyyou have 3+ years of experience in Hospitalityor customerservice-relatedfield.
You are comfortable interacting with multiple levels of management andunderstandthe importance of all relationships.
You enjoy working closely with others and have a team-oriented mindset.
You are professional, confident, mature, creative,flexibleand a highly organized team player with the ability to prioritize and handle multiple projects simultaneously.
You thrive on being detail oriented, organized, and exceeding expectations.
Youpossessexcellent writtenandverbal communication skills.
You are comfortable making alternative suggestions to satisfy the needs of multiple stakeholders.
You can work in a dynamic environment andcanshift priorities andmodifyfocus while multi-tasking.

An hourly rate target of $29-$31/hour based on experience
