The Role
Act as Subject Matter Expert for leave management and time tracking processes for EMEA, ensuring compliance with local labor legislation and company policies.
Review and validate employee absences (e.g., vacation, sick leave, maternity/paternity, special leaves) to ensure timely and accurate system entries and approvals.
Manage the end-to-end leave process in HR systems (e.g., Workday, Oracle, etc.) including corrections, adjustments, and balance verifications.
Monitor and reconcile absence balances to ensure data integrity between the HR systems and payroll outputs.
Support in resolving discrepancies or late submissions related to leave and time tracking.
Provide guidance to employees and managers regarding local leave regulations, eligibility, and documentation requirements.
Monitor and validate overtime hours and related approvals in accordance with local labor laws and company policy; ensure accurate reflection in time tracking systems and coordination with Payroll for proper payment or time-off compensation.Â
Ensure adherence to monthly payroll processing deadlines and payroll cut-offs, proactively monitoring open cases to prevent post-deadline adjustments.
Coordinate with local HR and legal teams to ensure up-to-date mapping of statutory leave types and changes in legislation.
Prepare monthly and ad-hoc reports on absence trends, PTO accrual, time tracking and utilization metrics for internal stakeholders.
Update and maintain Knowledge Base (KB) articles, process documentation, and Workday help text with the latest validated information to ensure accuracy, consistency, and alignment with current practices and legal requirements.
Maintain and regularly update the leave request forms, medical certificates templates, and related documentation to ensure they reflect the latest statutory requirements and internal policies.Â
Support configuration and testing of leave and time tracking rules for the companies under the Hitachi DEAI Business Unit.
Ensure all leave-related and sick leave documentation is handled in full compliance with GDPR and internal data protection standards.Â
Perform regular data audits and ensure audit readiness by maintaining a complete and accurate record of all leave adjustments and time tracking transactions.
Prepare regular dashboards and analytical reports (monthly, quarterly, ad-hoc) summarizing leave utilization, trends, and compliance metrics for HR and management.
Identify opportunities for process automation, efficiency improvement, and standardization across EMEA.
Escalate complex or sensitive cases to the appropriate HRBP, Legal, or CoE while ensuring local context and proper follow-up.
Contribute to continuous improvement projects, documentation updates, and knowledge-sharing within the GPS EMEA team.
What Youâll Bring
Expert Knowledge of Leave & Time Tracking Processes: Strong understanding of statutory and company leave rules, time tracking policies, and compliance across multiple EMEA jurisdictions.
Operational Excellence: Proven ability to manage high data accuracy, attention to detail, and timely delivery in a fast-paced, deadline-driven environment.
Analytical Thinking: Ability to analyze leave data, identify inconsistencies, and provide data-driven solutions.
Customer Focus: Strong service orientation and ability to provide clear, supportive communication to employees and managers.
Confidentiality & Integrity: Proven ability to manage sensitive personal data with discretion and professionalism.
Team Collaboration: Ability to work effectively with cross-country HR, payroll, and systems teams.
Continuous Improvement Mindset: Proactive in identifying opportunities to streamline and standardize processes.
Communication Skills: Excellent written and verbal communication in English; additional EMEA languages are an asset.
Technical Proficiency: Advanced Excel and HRIS experience (Workday, SAP, Oracle HR, or similar).
English Language Level: Upper-intermediate or above.
