The Admissions Operations Coordinator manages the operational processes that support the collegeās admissions application pipeline. This position ensures the accuracy, integrity, and efficient movement of applicant records through the admissions process by coordinating application workflows, monitoring data quality, and supporting system-based admissions operations.
Working closely with Admissions Counselors and other Enrollment Management offices, the coordinator monitors application activity, resolves record issues, and supports process improvements that enhance operational efficiency and the applicant experience. The role also assists with identity verification, duplicate record resolution, and monitoring potential fraud risk within admissions systems.
This position focuses on admissions operations, systems coordination, and data integrity, partnering with the admissions team to maintain a reliable and efficient application process.
Essential Duties and Responsibilities
Admissions Application Operations
Coordinate the operational workflow of admissions applications to ensure accurate and timely processing.
Monitor application activity and identify workflow issues that may impact processing timelines.
Exercise independent judgment in resolving complex applicant record or application processing issues in accordance with institutional policies and procedures.
Coordinate application processing activities across Admissions and Enrollment Management offices.
Applicant Record Management and Data Integrity
Review applicant records to ensure accuracy and completeness within admissions systems.
Manage duplicate record identification and resolution to maintain accurate student records in the Student Information System.
Maintain documentation and audit trails related to applicant record updates and corrections.
Identify and resolve discrepancies that may impact applicant records, processing workflows, or reporting.
Identity Verification and Fraud Monitoring
Review applicant identification and supporting documentation to verify identity and ensure accurate applicant records.
Monitor elevated-risk applications using fraud detection tools designed for higher education admissions.
Conduct preliminary reviews of flagged applications and escalate concerns according to established institutional protocols.
Support the development and maintenance of procedures related to admissions data integrity and fraud prevention.
Systems Coordination and Process Improvement
Utilize the Collegeās Customer Relationship Management (CRM) system and Student Information System (SIS) to track, update, and manage applicant data.
Serve as a liaison between Admissions, Records & Registration, Information Technology, and other Enrollment Management units to resolve system or workflow issues affecting application processing.
Develop and maintain operational documentation and procedures related to application processing workflows.
Identify opportunities to improve operational efficiency and recommend enhancements to admissions processes and systems.
Operational Reporting and Analysis
Monitor application pipeline activity, including application volume, completion trends, and processing timelines.
Support operational reporting related to admissions activity and application processing metrics.
Assist admissions leadership in identifying trends or operational issues that may impact application processing or applicant experience.
Collaboration with Admissions Staff
Work closely with Admissions Counselors to ensure applications and applicant records are complete, accurate, and ready for review.
Collaborate with Admissions staff to resolve application processing issues and maintain workflow continuity.
Monitor application-related communications and coordinate follow-up with Admissions staff to ensure timely resolution of applicant record or process issues.
Minimum Qualifications
Bachelorās degree in business, education, higher education administration, or a related field.
Three to five years of experience in admissions operations, enrollment services, records management, or a comparable administrative environment.
Experience working with enterprise systems such as CRM platforms, student information systems, or comparable databases.
Strong organizational, analytical, and problem-solving skills with high attention to detail.
Ability to manage multiple priorities while maintaining accuracy and efficiency.
Strong written and verbal communication skills.
Ability to maintain confidentiality and ensure compliance with FERPA and institutional policies.
Preferred Qualifications
Experience working in a higher education admissions or enrollment management environment.
Experience with operational reporting or data analysis related to enrollment or admissions activity.
Familiarity with admissions application processing systems and identity verification processes.
Salary Range $50,618 - $55,000 (commensurate with experience)
