Position Overview
The Workflow Manager supports senior Department of Defense leadership by managing, coordinating, and facilitating the end-to-end workflow of correspondence, taskers, and action items across OUSD(R&E) Front Offices and associated organizations. This role ensures that executive-level decisions, correspondence, and taskings are accurately processed, prioritized, tracked, and completed within established suspense dates in a fast-paced, high-visibility environment.
Workflow Managers operate as trusted advisors to senior leadership, exercising independent judgment, discretion, and critical thinking while handling highly sensitive and time-critical information.
Key Responsibilities:
Manage and facilitate enterprise workflow activities in support of OUSD(R&E), OASD Front Offices, and senior DoD leadership
Review correspondence packages, reports, and taskers for completeness, accuracy, clarity, format, and responsiveness to originating requests
Monitor and manage the Correspondence and Task Management System (CATMS) to ensure all taskers are triaged, routed, and completed on time
Track task status, suspense dates, and workload priorities; proactively follow up with action officers and offices to drive timely completion
Ensure senior leadership decisions are clearly communicated through properly prepared correspondence for concurrence, approval, and signature
Draft, review, and edit correspondence, memoranda, and reports requiring sound judgment and attention to detail
Route correspondence using approved distribution codes and routing lists
Maintain correspondence control systems to reflect real-time task status
Assist with special handling of sensitive and high-priority correspondence (e.g., Secretary of Defense, Deputy Secretary of Defense, Congress, White House)
Ensure compliance with records management policies and federal requirements, including NARA standards
Support transition to and sustainment of electronic records management systems
Handle and safeguard classified and controlled unclassified information in accordance with DoD regulations
Interact professionally with senior leaders across DoD, Military Departments, Joint Staff, Defense Agencies, OMB, GAO, IG, and Congressional stakeholders
