The HSE Administrator plays a critical role in supporting the effectiveness and compliance of the Health, Safety, and Environment function across operational sites. By maintaining accurate records, managing digital HSE systems, and coordinating documentation for audits, regulatory requirements, and internal processes, the role ensures that safety information is reliable, accessible, and properly controlled. Through strong administrative coordination and support to the HSE Management team, this position helps maintain high safety standards, enables informed decision-making, and contributes to a well-organized and compliant safety culture across the organization.
What You鈥檒l Drive
Maintain and manage HSE documentation, registers, and records in line with company and project requirements.
File, update, archive, and control versions of HSE plans, MSRA, PTW records, inspections, and training files.
Ensure secure storage and confidentiality of sensitive information such as incident data, medical records, and investigation reports.
Register and update workforce information, inductions, trainings, incidents, inspections, toolbox talks, and HSE communications in the Company鈥檚 digital platform.
Validate digital data and ensure accuracy of all system entries.
Generate daily, weekly, and monthly HSE dashboards and performance reports.
Support digital tools implementation, system updates, and assist with user access and basic troubleshooting.
Assist with preparation and submission of authority notifications, incident reports, and regulatory documentation.
Maintain records of approvals, permits, submissions, and communications with authorities.
Prepare documentation for ISO audits, client audits, and internal compliance reviews.
Maintain training records, competency files, and track expiry dates for trainings, medicals, licenses, and certifications.
Coordinate HSE trainings, including logistics, attendance records, and training materials.
Support onboarding of new HSE personnel and maintain leave trackers to ensure site coverage.
Prepare meeting minutes and follow up on action items.
Support HSE communications, safety campaigns, BE SAFE activities, and toolbox documentation.
Maintain records and evidence for HSE activities, audits, and inspections.
Coordinate with site teams and internal departments on HSE-related requirements.
Support tracking of PPE stock, equipment calibration records, and HSE assets.
Provide administrative support during inspections, audits, and management walk-throughs.
