Role Overview
The Executive Operations Manager will play a critical role in keeping the organization structured, efficient, and operating smoothly. This role combines operational execution with high-level executive support, managing financial workflows, internal systems, and cross-functional coordination while directly supporting the COO and leadership team. The Executive Ops Manager will help drive operational efficiency, systematize processes, and contribute meaningfully to the company’s continued growth.
Key Responsibilities
Oversee billing, vendor payments, and customer invoicing using systems such as Bill.com and Stripe.
Manage contractor payments.
Maintain internal operational reporting.
Ensure HubSpot is consistently updated and accurate.
Manage sales pipeline integrity and monitor deal stages.
Document and improve key operational processes, including billing, renewals, and customer account check-ins.
Drive process standardization to improve efficiency and accountability.
Maintain operational dashboards, OKRs, and investor reports.
Provide weekly insights and updates to leadership.
Manage recurring workflows to ensure deadlines are met.
Keep cross-functional teams aligned and accountable.
Qualifications
4–6 years of experience in operations, business management, or executive support.
Experience working in a fast-paced startup environment.
Experience in SaaS or technology startups (preferred).
Familiarity with investor relations and reporting (preferred).
Proficiency with HubSpot, Slack, Google Workspace, Stripe, and Bill.com.
Strong organizational and communication skills with exceptional attention to detail.
Proactive and resourceful mindset, with the ability to manage across teams and time zones.
Ability to balance executive support responsibilities with operational execution.
