Main Responsibilities
Support for the NEA front office
As directed by the Manager, Administrative and Strategic Coordination:
- Conduct administrative tasks in support of the Director-General and Deputy Director-General. Such taks include schedules, setting up appointments, meetings and related logistical arrangements,organising official international missions and preparing all travel arrangements, including arrangements with Japanese stakeholders in Japanese.
- Draft routine correspondence in English, French and Japanese. Communicate effectively and professionally with external parties by telephone and email.
- Manage NEA administrative tasks requiring the Director-General, the Deputy Director-General and Senior Advisors approval or attention, including staff missions and contracts.
- Filter incoming calls and respond to general enquiries.
- Identify priority issues and bring them to the Director-General’s attention.
- Carry out other related duties as assigned.
Support for the Office of Policy and Coordination
As directed by the Manager, Administrative and Strategic Coordination:
- Contribute to cross-cutting policy initiatives, programmes, and special projects,including those with Japanese stakeholders.
- Establish strong working relationships with internal and external partners.
- Support the gathering of substantive inputs from NEA divisions for assigned policy, programme, or project deliverables.
- Draft, edit, and quality-control mission books, decision-support documents for the Director-General, and other documents.
- Conduct background research and analysis on issues relevant to the Director-General’s priorities and the Agency’s strategic objectives.
- Support monitoring and reporting on assigned initiatives, ensuring continuity between policy discussions, decisions, and follow-up actions.
