Provide fast, reliable sales administration and internal communications support, assist the Director with delegated tasks, manage client document workflows end‑to‑end (printing, scanning, routing, and dispatch), coordinate internal communication on behalf of the Director, and act as MarCom ambassador in Ukraine, ensuring brand‑consistent messaging and timely information flow across the team.
Key Responsibilities
Client document & workflow management
- Print, scan, and format client documents (contracts, proposals, letters, annexes, etc.).
- Route documents within the team for review/approval and coordinate final dispatch to clients via approved channels (email, e‑sign, courier).
- Track status against service‑level timelines; escalate blockers proactively.
Internal communications support for the Director
- Draft, edit, and distribute internal announcements, updates, and leadership messages; ensure clarity, accuracy, and alignment with company tone.
- Organize town halls, leadership Q&As, and staff updates; manage agendas, talking points, and follow‑ups.
- Maintain internal pages/posts (e.g., SharePoint/Teams) and ensure timely information flow across the organization.
- Ensure timely payments for vendors and contractors by coordinating with Finance and tracking invoices.
Event Organization
- Plan and execute events for clients and employees (presentations, networking sessions, corporate gatherings).
- Handle logistics, venue booking, catering, and vendor coordination.
Marketing Communications (MarCom) ambassador (Ukraine)
- Localize and activate global brand & marketing communications assets for the Ukrainian market; ensure brand compliance in all internal/external touchpoints.
- Partner with regional marketing on campaigns, employee engagement communications, and social amplification; coordinate translations when needed.
- Monitor engagement and feedback; surface local stories and successes to regional/global MarCom.
Team coordination & operations
- Maintain request queues, shared mailboxes, and trackers; schedule briefings and checkpoints for sales deliverables.
- Collaborate closely with account leads and operations to keep information current and consistent.
- Uphold confidentiality and data‑protection standards at all times.
Tools & platforms
- Daily use of Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), SharePoint; office devices for printing/scanning; basic collaboration and task‑tracking tools.
